Who we are

Kairox uses your data only to plan your week, never sells it, and never shows you ads.

Kairox (kairox.life and app.kairox.life) helps college students plan their week. You describe your classes, work and plans in a short chat, and Kairox builds a weekly schedule around them and around your Google Calendar. Kairox is a free beta run by the Kairox team. This policy explains what we collect, why, who handles it for us, and how you can remove it.

What we collect

We collect only what it takes to build and adjust your schedule.

  • Name, email and Google account ID, from Google sign-in, to create your account and keep you signed in.
  • Free/busy times (when you are busy, not what the events are), from Google Calendar if you link it, to schedule around your existing commitments and so the planning chat can ask you about them.
  • What you type or say in the planning chat, to understand your week.
  • Your activity list, preferences and schedules, built from the chat and your edits, to show, save and change your week.
  • Voice recordings, when you use the mic, turned into text only. We never store the audio.
  • Usage records (number of requests, cost, audio seconds), to enforce the fair-use limits of the free beta.
  • A sign-in cookie, to keep you signed in. We use no tracking or advertising cookies.

We never read the titles, descriptions, guests or locations of your Google Calendar events.

If you join the waitlist on kairox.life, we also collect your first name, email, school, how many friends you might use Kairox with, the plan you were interested in, your browser's user agent (browser and device type) and the time you signed up. We use it to manage the waitlist and send your invite. A hidden check screens out automated signups and is not saved.

How we use it

Your data is used to plan your week and run the service, nothing else.

  • Build your weekly schedule and change it when you ask.
  • Add your schedule to a separate "Kairox" calendar in your Google Calendar, only when you choose to sync.
  • Keep the free beta fair and affordable with per-person usage limits.
  • Keep Kairox secure, fix problems, and answer you when you contact us.

We never:

  • sell or rent your data;
  • use it for advertising or share it with advertisers;
  • use your Google data to train AI models;
  • read, change or delete events in your other calendars.

Google user data

Kairox asks Google for the least access that works. Of your Google data, only your busy times go to the AI that runs the planning chat, never event names or details.

  • Sign in (name, email, account ID): to know who you are.
  • See your free/busy times: to find the hours you are already busy, without seeing event details, and to ask you about those hours in the planning chat.
  • Make and manage calendars it creates: to create one "Kairox" calendar and put your planned week in it. It cannot touch your other calendars.

Linking your calendar is optional. Your Google sign-in keys are encrypted when we store them, and you can remove Kairox's access at any time in Settings or in your Google Account under Security, Third-party connections. During the beta, Google may ask you to link your calendar again about once a week.

If the planning chat asks you about a busy time, for example "You're busy Monday 9:00 to 10:30, is that a class?", that question is saved with your chat like any other message, and is deleted when you delete your account.

Kairox's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

AI and voice

The planning chat runs on Claude, made by Anthropic, and voice input runs on AssemblyAI.

  • Chat: what you type or say, your activity list and a summary of your schedule are sent to Anthropic's Claude to run the chat and to change your week. If you linked Google Calendar, your busy times are sent too, so the chat can ask about them; event names and details are never sent. Under Anthropic's commercial terms, this data is not used to train its models.
  • Voice: when you use the mic (up to 2 minutes at a time), the recording is sent to AssemblyAI only to turn it into text, together with the names of your activities so it spells them correctly. Kairox never stores the audio. We delete the text from AssemblyAI as soon as we receive it, and AssemblyAI deletes the uploaded audio on its own within about two days.
  • You stay in control: voice text appears in the box for you to check and edit. It is never sent until you send it.

Please don't share things Kairox doesn't need, such as health details, passwords or other people's private information.

Service providers

These companies process data on our behalf so Kairox can work, under their own terms and privacy policies. Our server and database are in the United States.

  • Google: sign-in and Google Calendar (your account, free/busy times, the Kairox calendar).
  • Anthropic: AI for the planning chat (chat text, activity list, schedule summary, and busy times if you linked your calendar).
  • AssemblyAI: speech to text (voice recordings, briefly, and your activity names as spelling hints).
  • Render: runs our server in the United States (everything passing through the app).
  • Neon: our database in the United States (your account, chats, schedules, encrypted Google keys).
  • Netlify: hosts kairox.life and app.kairox.life and receives the waitlist form (standard web request logs, waitlist form entries).
  • Supabase: stores waitlist signups.
  • Resend: sends beta invites and waitlist notices to our team (your email address, and your waitlist details in team notices).

Storage, security and retention

We keep your data only while you have an account, apart from the short 7-day code described below, and we protect it in transit and at rest.

  • Everything travels over encrypted connections (HTTPS).
  • Your Google sign-in keys are encrypted with a separate key before we store them.
  • Only the Kairox team can reach the database, and only to run and fix the service.
  • Our server logs record technical events, not your chat messages, schedules or calendar data.
  • Your account, chats, schedules and usage records are kept until you delete your account. Deleting removes them from our database right away. For 7 days after a deletion we keep only a scrambled code made from your Google account ID, so the beta limits can't be reset by signing up again; it can't be read as your name or email, and it is deleted after those 7 days. Waitlist signups are kept until Kairox launches, unless you ask us to delete them sooner.
  • If Kairox shuts down, we will email you first and then delete your data.
  • If we ever learn that your data was exposed, we will tell you by email.

Your choices

You can disconnect, download or delete everything yourself in Settings, at any time.

  • Disconnect your calendar: Kairox stops reading your free/busy times and loses access to your Google Calendar. The "Kairox" calendar stays in your Google account with your planned weeks; you can delete it in Google Calendar.
  • Download your data: get a copy of your account, chats and schedules as a file.
  • Delete your account: removes your account, chats, schedules and usage records, and removes Kairox's access to your Google account, or tells you how to remove it yourself if we can't. A scrambled code stays for 7 days so the beta limits can't be reset by signing up again.
  • Ask us: email hello@kairox.life to see, correct or delete your data, or with any question about this policy. We complete requests within 30 days.

Children

Kairox is made for college students and is not meant for children under 13. We don't knowingly collect data from them; if you think a child has an account, email us and we will delete it.

Changes to this policy

If we change how we use your data, we will update this page and its date, and email you before a change that affects data you already gave us.
